Prices include disposable dishes. Church dishes may be used if the servers at the church will wash. These prices are for deliver and set up only. If you would like Gaylord Catering to stay and serve, please add a 18% service charge. Applicable sales tax will be added to all prices.

*For funeral lunches at the ESC, please add $1 per person and an 18% service charge. These additional charged include linen table covers, biodegradable dishes and service staff to service the luncheon. For china and stainless flatware service at the ESC, please add $100.  For funeral lunches at Turner Hall, please add $1 per person and an 18% service charge. These additional charges include biodegradable dishes and service staff to service the luncheon.

General Information – Picnic

Menus: These menus are suggestions only. We would be happy to customize a menu to meet your needs. We make our salads fresh in our commissary.

Service: We will serve for a one hour period for groups less than 200. See additional charges if you would like to serve longer than one hour. All sandwich menus are priced so that each adult may have one and one half sandwiches each. Only one 10 oz. grilled steak or 8 oz. salmon per person. Gaylord catering can provide a buffet table if necessary. Please make arrangements with us to provide tables at the time of reservation. We include a table cover for the buffet tables.

Children’s Prices: Children age 11 and over will be charged the listed price. Children ages 4 to 10 will be charged $4.99 each. Children 3 and under will not be charged, however, you will need to count them in your final number of guests.

Pricing Information: All prices are subject to change without notice. The final price will be determined by your final guaranteed number of billable guests (not including children who are under three and are free). Applicable sales tax will be added. We require a $500 deposit for class reunions. The deposit is due upon reservation of the date.

Additional Charges: A travel charge of $1.00 per mile will be added for picnics outside of the Madison area. If you would like the picnic served longer than one hour, an additional charge of $20.00 per hour per service staff will be added. For picnics under 50 people, an 18% service charge will be added.

Guaranteed Number: An estimated number of guests is required at the time of reservation. Your final guaranteed number of guests is due one week prior to your picnic. Your guaranteed number can be increased but not lowered up to 72 hours before your picnic. We are prepared to serve 5% over this guaranteed number. You will be billed for your guaranteed number or number of meals actually served, whichever is greater.

Other Locations: For picnics at the East Side Club, please add 17% facilities fee. If you would like upgraded service at the East Side Club, please add $1 per person and an 18% service charge. Upgraded service includes china dishes, stainless steel flatware, linen table covers and wait staff to provide beverages (if needed) to the table and clear tables. If your picnic is at Warner Park Community Recreation Center or Olbrich Gardens there is a 12% facilities fee that will be added to the menu prices. For events at the Lussier Family Heritage Center or Waunakee Village Center there is a 10% facilities fee added. Additional facilities may require a catering facilities fee. This facilities fee will be added to your bill.

MENU, PRICES, CHARGES AND GUEST COUNTS

Menu Selections: These menus are suggestions only. Our catering staff would be pleased to customize a menu to meet your needs. Many hors d’oeuvres items can be passed by our staff. Please inquire about service staff if you would like passed hors d’oeuvres.

Ordering: Orders may be placed by calling the catering office at 608-222-1267, faxing us at 608-222-1487, or via email at sales@gaylordcatering.com. Orders emailed must receive an “order received” confirmation reply to be considered placed. If placing your order via fax, please call to confirm receipt of order.

Prices: All prices are subject to change without notice. Severe market fluctuation will result in price adjustments from time to time. In addition, applicable state and county taxes will be added to the menu prices, labor, facilities’ fees and service charges (if applicable).

Minimum Numbers: We have a minimum of 15 guests for events served from 6:00 a.m. – 5:00 p.m. A minimum of 20 is required for all other times. Some exceptions may be made.

Additional Charges: Additional charges apply when your event is scheduled at certain locations:

These are mandatory fees set forth by each location. These fees will be added to your final bill. The fees are passed directly to the respective location. Additional charges may apply at other facilities.

For events outside the Madison area, there is an additional mileage charge of $1 per mile to and from your location. Additional staff travel charges may apply.

DELIVERY & SET UP, TABLEWARE AND STAFF

Delivery/Set-up: Orders requiring delivery beyond the immediate Madison area may require additional charges at $1.00/mile and travel time. We offer free delivery for buffet set up for 30 or more and a minimum of $250. For orders fewer than 30 people and/or less then $250, the delivery charge is $10-$20. If a return trip is necessary, to clean up or pick up equipment, there will be an additional $10-$20 minimum charge. If you request all disposable containers with your delivery (thus no return pick up charge), you will be billed for the cost of containers. Not all orders can be packaged in disposable containers.

Tableware and Dishes: Delivery includes set-up, serving equipment, tablecloth, napkins, all necessary biodegradable dishes and all necessary serving utensils. Or if you prefer, a black plastic square hors d’oeuvres plate can be added for 50 cents per person more.

*Optional Tableware and Dishes for the East Side Club: Linen table covers for guest tables are an additional $4 each. If you would prefer to use real dishes at the East Side Club, the additional cost for glass or china plates, stainless steel flatware and linen tablecovers for your guest tables, would be $2 per person plus 18% service charge. These additional charges would include wait staff to cover the tables, set the tables (if necessary), pick up plates, pass hors d’oeuvres, maintain the buffet, wash the dishes and clean up after event.

Service Staff: We are a full service caterer. If your event requires on site service, we have professional staff to accommodate your needs. The charges are $20/staff person/hour. Our service staff would be available to pass hors d’oeuvres, set tables (if necessary), collect trash, maintain the buffet and clean up after the event.

PAYMENTS AND DEPOSITS

Reception and Class Reunion Deposits: We need a deposit of $500 to reserve your date for receptions and class reunions. The $500 deposit is welcome anytime but should be received in our office at least four months before your reception or class reunion. We will apply the deposit to your final bill. We will mail a contract confirming your menu and costs once you have decided your menu and we can confirm the price (within 90 days of the event). Your signed contract should be received in our office at least two months before your event.

Reception Cancellations: If you cancel your reception more than 90 days before the scheduled date, we will refund $200 of your deposit. Your deposit is non refundable if your reception is cancelled less than 90 days before the scheduled event.

Cancellations for Other Events: We must be notified of cancellations at least two days in advance. If cancellation requests are not made within the required time, you are responsible for the full payment of the order (unless weather related).

Payment for Receptions: All receptions must be paid in full two days before the date of your reception. Payments can be made by check, cash or credit card (MasterCard, VISA, American Express or Discover). We accept credit card payments only if the transaction is completed through our office.

Payment for Other Events: We are happy to bill our corporate customers, with terms for payment being net 10 days. If different terms are necessary please contact our business office to make these arrangements. We also accept MasterCard, Visa, Discover and American Express. For non corporate events final payment is due two days prior to delivery.

MISCELLANEOUS

Extras: China dishes, linen tablecloths, napkins and skirting are all available at Gaylord Catering. Please inquire about the additional charges for these items. We also have a high end, durable recyclable plastic table service which is also available. You must provide buffet tables for food set up. If you do not have tables for the buffet, we can provide them for $15 each.

Wine and Beer Service: If your facility doesn’t provide alcohol, we can supply all your beer and wine needs. Please contact us for our beer and wine lists. Special requests are accepted and sold by the case only.

Food Allergies: All food is prepared in a commercial kitchen that handles nuts, shellfish and raw eggs regularly. If food allergies exist, you are responsible for making alternative eating arrangements.
